Kyrene Facility Rentals

Kyrene has a wide variety of facilities located throughout Tempe, Chandler, and Ahwatukee to meet your organization’s needs. Kyrene facilities are open for lease to any person, group, or organization for any lawful purpose in the interest of the community.
Rental hours Monday - Friday are 6pm - 9pm and rental hours Saturday and Sunday are 7am - 9pm.
We review and accept facility requests on an ongoing basis. However, requests made through our Window of Opportunity system are given first priority. The schedule below indicates the dates on which Window of Opportunity facility requests are accepted.
Fall season rentals (August - December): Window of Opportunity opens March 1 and closes March 20
Spring season rentals (January - May): Window of Opportunity opens August 1 and closes August 20
Summer season rentals (June - July): Window of Opportunity opens January 1 and closes January 20
At the close of the Window of Opportunity, the District's designee will review all of the requests and assign use allocations based on a predetermined set of criteria (i.e., total number of Kyrene youth served, total number of participants, organizations in good standing with the District). After initial allocations are made, any remaining available space will then be opened up to requests made outside the Window of Opportunity on a first-come, first-served basis.

What are the requirements and policies for renting a Kyrene Facility?
In General
- Organizations must have the following on file before being approved for usage:
- $1 million liability insurance listing Kyrene School District as additionally insured
- Signed Use Agreement
- Signed permit
- 501 (c) 3 (if applicable)
- $250 refundable deposit (if applicable, only required at the discretion of Kyrene Facility Rentals)
- All rental fees must be paid in full at least ten (10) business days prior to the reservation. Reoccurring groups may be billed monthly for the current month’s usage at the discretion of the department.
Changes and Cancellations
- Cancellations must be made at least five (5) business days in advance. Failure to provide adequate written notice of cancellations will result in a $25 penalty fee per occurrence and no refunds or credits will be issued. Cancellations may be submitted by emailing facilityrentals@kyrene.org.
- Changes to a reservation must be made in writing at least five (5) business days in advance. Changes to a reservation not made at least five (5) business days in advance will not be granted and no refunds or credits will be issued. Changes to a reservation may be requested by emailing facilityrentals@kyrene.org and will be subject to approval or denial based on facility and personnel availability.
- Use of any facilities which were not approved and permitted will result in a $25 penalty fee per occurrence and additional fees based on the facilities which were used. Repeated infractions may result in suspension of future reservations.
- Use of any facilities beyond the approved and permitted reservation times will result in a $25 penalty fee per occurrence and additional fees based on the additional time the facilities were used. Repeated infractions may result in suspension of future reservations.
Closures and Blackout Dates
- Kyrene facilities will be unavailable for use on various dates throughout the year, typically on holidays, holiday weekends, and scheduled school breaks. Please see the 2023/2024 Blackout Calendar for details.
- In the interest of user safety as well as minimizing unnecessary damage to District fields, Kyrene School District prohibits the use of District fields during inclement weather conditions. Please see the Kyrene Inclement Weather Policy for details.

What is the cost of renting a Kyrene Facility?
Facility Fees
Facility fees are primarily determined by which User Category you or your organization falls under and what type of facility is being reserved. Please see the 2023-2024 Fee Schedule for more details.
Personnel and Equipment Fees
Personnel and equipment fees are determined by a number of criteria and are subject to change based on campus and reservation needs.
Renters should typically expect the following fees in addition to any facility fees:
Indoor rentals Mon - Fri:
- Opening/closing fee - $70/day
Indoor rentals Sat - Sun:
- Opening/closing fee - $70/day
- Utilities/HVAC fee - $20/hour for the duration of the reservation
- Facility Ranger fee - $35/hour for the duration of the reservation
Outdoor rentals Mon - Fri:
- Field light fee - $20/hour for the duration of the reservation
Outdoor rentals Sat - Sun:
- Opening/closing fee - $70/day
- External restroom fee - $35/day
- Field light fee - $20/hour (optional)

How do I submit a Kyrene Facility request?
Facility Requests can be made at any time using the Kyrene Facility Rental Request Form. Requests to use Kyrene facilities must be received at least ten (10) business days before requested dates. Please allow for additional time if you are unsure of what you will need, as determining these needs may require additional time before an approval is made.
Please keep in mind that first priority is given to requests made during the Windows of Opportunity. Requests for a given season made prior to the Window of Opportunity opening for that season will not be considered.

Why can't weekday rentals begin before 6pm?
Kyrene School District out-of-school-time programming typically operates until 6pm or later on nearly every Kyrene campus Monday - Friday. These activities include but are not limited to: Kids Club, After Hours, Youth Enrichment, and Kyrene Athletics. To keep these programs as safe and secure as the regular school day and to avoid schedule conflicts, we have made the choice to only approve rentals of Kyrene facilities outside of district program operating hours whenever reasonably possible.
