Process
The group must first determine a destination
within Arizona. Once the site has been chosen, the following roles and
responsibilities apply:
Mapper - research all transportation
options based on the group's needs. Will it be by car, bus, train, SUV, or
travel trailer? You will also visit map websites and
determine the best route to take from your present location. You will record
mileage to and from your destination and compute gas usage. Report your expenditures to your Accountant, check
transportation needs with the Events Coordinator, and work closely with
the Journalist as well..
Accommodations and Events Coordinator
- research accommodations in the area; places to stay, eat, shop, etc. You
should also check out possible side-trips, sites, and activities others
may enjoy, providing a brief description of each. You might include amusements
for kids, cultural activities, and tours. Be sure to work closely with
the Accountant to stay within budget.
Journalist - chronicle the process
as your group works - successes and difficulties in reaching your goal.
You will assist and organize the others in your group. Be sure to check out weather conditions
for the particular time of year to make sure the supplies, activities,
and accommodations are appropriate. Encourage everyone to gather photos
of places along the way. You also need to begin planning the final product.
History Buff - Arizona has a
rich history. Research the history of your chosen destination. Become an
expert on the past, its people and culture, as well as the present. Find
out how this site came to be, who shaped it, and why it is special. Gathering
historical photos will add flavor to your final presentation for the grant.
Accountant - keep a spreadsheet
of expenses. With the help of group members, you determine needs such as
clothing, equipment, and supplies. Then set out to compute the cost for
all group members. The meal budget is $20 per day per person. It
is up to you to keep communicating with the others to record expenses such
as transportation, lodging, and activities. Remember, you only have $2,000
to spend on the entire trip. How long you stay depends on how quickly you
deplete your budget.
When all of your information is gathered,
and each person has completed their research, your group will need to choose
a format for your grant application. This can be a PowerPoint presentation,
Report, or multi-page brochure/newsletter.
