Community Use of District Facilities

 

How to Rent a Facility

All requests for the use of District facilities are originated at the facility being requested (i.e., the school, Ben Furlong Education Center).  Once a facility has approved a request, it is then reviewed by the District’s designee.  The District’s designee shall review the submitted request form, checking to be sure the applicant has filled in all of the necessary information, provided an application fee, and has signed the form.  The District’s designee will assign the applicant a Category according to the Category structure outlined in KF – EC.  If the applicant submitted all necessary fees and paperwork (e.g., request form, insurance, application fee, deposit), the request is then considered for approval by the District’s designee. An invoice confirming the approval and associated fees is then sent from the District’s designee back to the applicant.  If the request is not approved, the District’s designee will notify the applicant.  The applicant must pay projected fees in advance of using the facility, and no later than two weeks prior to the first use.  All liability insurance is to be secured by the applicant, with evidence being sent to the District’s designee at least 2 weeks prior to the first use.  Failure to secure acceptable liability insurance will cancel the Use Agreement and any approved use.  Any use over/above that approved will be billed to the lessee.

How to Request a Facility

Facility requests need to be submitted at least 2 weeks prior to the dates requested along with a $15  application fee to:

  • any school office (follow the locations link for details)

  • the Furlong Center located at 8700 South Kyrene Road (on the north west corner of Kyrene and Warner Roads in Tempe)

Only the President from each organization may submit a facility

use request (Boy Scouts, Girl Scouts, Homeowners Associations, and new organizations are the exception).  Individual team coaches may not request facilities for their team.  The League President or one designee must request all facility use for their league.

 

Please contact us with any questions or to request a facility. We use a Window of Opportunity system for facility requests (this is our first-come, first-serve system).  The schedule below indicates the dates on which facility requests are accepted at the schools.  Schools will accept facility requests throughout the year (on an ongoing basis); however, first priority for use is given during the following windows of opportunity:

 

Dates of use: Window of opportunity to request use:
Fall (August - December) April 14 - May 2
Spring (January - May) August 12 - August 30
Summer (June, July)   January 13 - January 31

 

Important notes:

» All facility use fees are due prior to use

» Circle requested dates of requested use on a Calendar  

» Remember to specify exactly which fields are requested

» Any changes received will be charged a $15 change processing fee.

» Indicate additional set-up/special needs (especially restrooms) on the request form

» Expect notification of final approval by email (including a use permit)

» Organizations must have the following on file before being approved for usage:

  • $1 million liability insurance  listing Kyrene School District as additionally insured

  • $250.00 refundable damage deposit

  • 501 (c) 3 (if applicable)

  • Signed Use Agreement

  • Completed Use of Facility Request Form with $15 application fee
